# Private tours

> Sell private group tours and receive custom tour requests on your own Page.

Offer a fixed-price private tour to customers who find you through Instagram, hotels, WhatsApp or recommendations. Customers can book an available time or ask you to prepare a custom proposal.

## Set up a private tour

1. Open **Products → New Product** and choose **Booking**.
2. Enter the tour name, description, image, currency, tax settings and price. The price covers **one entire group**, rather than each guest.
3. In **Booking Settings**, enable **Private tour**.
4. Enter the maximum number of guests, available languages separated by commas, and the meeting point.
5. Set the tour duration, working days, available hours, advance notice and travel buffer.
6. Choose full payment or a fixed/percentage deposit under **No-show protection**.
7. Save the product and select it among the products displayed on your **Page**.

For example, offer a two-hour city walk for €240 per group with up to six guests. With a 25% deposit, the payment split is €60 now and €180 remaining, before any additional tax required by your tax settings. Set and check your tax settings before publishing.

## Let guests book a package

Your Page displays **Private tours** with **Book this tour** buttons. Guests choose a date, time, guest count and an offered language. PayRequest checks the guest limit and language again during checkout. Changing the number of guests does not multiply the group price.

Your opted-in private tours share one calendar for your business. An existing pending or confirmed booking blocks overlapping private tours, including travel buffers. This mode assumes one guide; ordinary booking products keep their own availability.

> A time slot is checked before payment starts, but is not held during payment. Simultaneous or delayed payments can still need manual review. Review your bookings before confirming travel arrangements with guests.

## Receive custom tour requests

Enable **Accept quote requests** in your Page settings. Guests can then choose **Request a private tour** and enter their preferred tour, date, language, group size, pickup location and wishes.

Custom requests may ask for more guests than the package permits or for another language. You decide whether you can accommodate the request. A request does not confirm availability or reserve a time slot.

## Prepare a proposal with an advance payment

1. Open **Requests** and select the custom tour request.
2. Choose **Prepare proposal with deposit**.
3. Review the prefilled customer and tour details.
4. Enter your agreed price, tax and terms, and confirm availability separately.
5. Adjust the suggested 25% deposit as needed, then save and send the quote through the existing quote flow.
6. After the customer approves, use the existing quote-to-invoice flow for the deposit invoice.

Opening the proposal form does not save or send a quote. Quotes do not create a calendar booking automatically. Agree and record the date separately. Remaining balances are not automatically charged by the private-tour feature.

## Current scope

This version supports fixed group packages and custom requests with proposals. Variable hourly prices, per-person seat inventory, multiple guides and automatic calendar reservations from accepted quotes are not included.
