Use Allocate to invoices when money has already arrived through your connected bank account, but the correct invoices remain open. This is useful when a customer sends one combined payment for several invoices or an older receipt was booked without settling the invoices.
This records how received money pays invoices. It does not collect money, initiate a transfer or send another payment request. Bookkeeping status and invoice settlement are separate.
Looking for ledger postings, partial bank allocations, provider fees or quarter-end reports? See Bookkeeping. Matching in that workspace does not change the original invoice payment status.

Before you start

You need access to the relevant Ponto transactions and permission to edit invoices. Team members require invoice-editing permission.
  • The receipt must be positive, no longer pending and have an execution date.
  • Select open, positive invoices for one customer in your own account.
  • The invoices must be dated on or before the bank payment date and use its currency.
  • The selected invoice total must equal the received amount exactly. This flow does not allocate part of a receipt or accept a difference for fees or overpayment.
  • Payments already linked elsewhere and invoices with other payment activity, credits or certain linked order/collection states require separate review.
Use the customer’s payment specification or another reliable record to identify the invoices. A matching total or an invoice number in the bank description is not proof of which invoices the customer intended to pay.

Review and confirm

  1. Open Ponto transactions.
  2. To find possible older matches, select Invoice allocation review (all dates). This review filter shows candidates; it is not a complete list of every unallocated receipt. You can also open a relevant incoming transaction from the normal list.
  3. Open the transaction and choose Allocate to invoices.
  4. Enter an Invoice number for this customer, then choose Load open invoices. Check that the displayed customer is correct.
  5. Select the invoices that the received payment actually covers and choose Review allocation.
  6. Check the amount, currency, original payment date and every invoice number. Confirm I verified that this payment covers these invoices, then choose Confirm allocation.
For example, a received EUR 150 payment can settle two eligible EUR 100 and EUR 50 invoices for the same customer when the customer’s specification confirms that grouping. PayRequest does not choose a subset of invoices for you.

What confirmation changes

The reviewed invoices are marked paid using the original bank execution date. Their reminders are disabled and obsolete awaiting-bank-transfer instructions are cancelled. The allocation is recorded with the received payment; existing accounting notes are preserved. No customer email or payment request is sent. Payment notifications and automatic service provisioning are not replayed. If an associated service needs an operational action, review it separately rather than assuming this bookkeeping action will perform it.

If confirmation is blocked

There is no undo step described in this flow. If an allocation appears incorrect, ask for a reviewed correction before editing payment records or marking invoices unpaid.
