A credit note reduces an amount previously invoiced. PayRequest creates a numbered negative document with a PDF and a link to the original invoice. The original invoice stays available for your records.
Issuing a credit note does not mean a refund has completed. The credit document and the return of money are tracked separately.

Credit a paid invoice

Open the original invoice

Open its detail page and choose Credit invoice.

Choose the amount

Choose Full remaining amount, A specific amount, or Selected invoice lines. Custom amounts include VAT; credits preserve the original lines’ VAT rates. Existing credits and refunds reduce the amount available.

Enter a reason and choose the refund method

Enter a reason, such as a charge after cancellation. Choose Refund through Mollie to return money through the original Mollie payment, or Refund manually to transfer it yourself.

Choose whether to notify the customer

Leave Email the credit note to the customer selected if you want a notification. Review the negative total, then select Issue credit note.

Check the result

The original invoice shows the linked credit note and its refund status. Customers can also see the credit document and settlement status in their portal.

Understand refund statuses

PayRequest checks outstanding Mollie refund statuses every five minutes. Check refund status searches for the existing refund. A retry after a confirmed failure uses the same credit note.
Do not issue another credit note or transfer money manually just because a Mollie refund is still pending or needs verification. First establish what happened to the original refund.
The original paid invoice remains Paid. A credit document may also have an accounting status of Paid; use its separate refund status to determine whether money has been returned.

Credit an unpaid invoice

Choose Credit invoice to credit an eligible unpaid invoice in full. PayRequest creates the linked credit note, cancels the original invoice, stops its payment link and reminders, and cancels awaiting bank-transfer matching instructions. No refund is requested. An existing or in-flight payment, or an active debt-collection case, must be checked before crediting. Partial credits on unpaid invoices and credits to a customer balance are not currently supported by this flow.

Customer email and language

The notification uses the Credit Note Created email template. An inactive template prevents this notification from being sent. Without a saved template, PayRequest uses its default content. Default text uses the customer’s configured language when translations are available; without a customer language, the fallback is English. Your custom template text is used as written and is not automatically translated. After issuing the credit, check the invoice’s email history to confirm sending. The credit note’s existence and a pending refund are not proof that an email was sent. A send confirmation also does not prove delivery to the customer’s inbox.

Limits and older invoices

You can issue multiple credits while enough amount remains available. Refunds linked to credit notes are counted once. The minimum credit is €0.01. Older credits or refunds without known line allocations can prevent selected-line credits; use the amount option when available.
